Where patients slip away

The phone rings when your team can't answer

Lunchtime, the 8am rush, after 5pm and Saturdays. Most callers don't leave a voicemail. They ring the next practice on Google.

Busy front desk

Your receptionist is checking in a patient while two lines ring.

After hours

Evening and weekend calls go to voicemail, and many new patients never call back.

No record

Nobody knows how many enquiries were missed, so it never gets fixed.

How Virtual Front Desk works

Three things happen automatically

Set up with your team in one call. Nothing new for patients to learn.

1

A missed call gets a text

Within a minute the caller gets a text from your practice name with your booking link, or "reply and we'll ring you back".

2

The AI receptionist answers

After hours or when your lines are busy. It says it's an AI receptionist, answers from the facts you give it, takes the caller's details and reason, and points emergencies to NHS 111 or your out-of-hours number.

3

Your team gets a summary

Every morning: who called, what they wanted and who to ring first. Urgent calls are flagged straight away.

Example call

What a patient hears at 7:40pm

The AI receptionist only uses the information you approve: opening hours, treatments, "from" prices and how to book. Anything else, it takes a message for your team.

This is a written example, not a recording of a real patient.

AI receptionistHello, you've reached Your Practice. I'm the practice's AI receptionist and this call is transcribed. The practice is closed right now. How can I help?
CallerI'd like to ask about dental implants. Do you do free consultations?
AI receptionistImplant consultations are with Dr Smith and start from £95. I can text you our booking link, or take your details so the team calls you tomorrow morning. Which would you prefer?
CallerA call tomorrow, please.
AI receptionistOf course. Can I take your name and the best number to reach you?

Your line, your data

Your own number

Keep the number patients already know. Calls only reach the AI receptionist when your team doesn't answer, or after hours.

Your own phone account

Calls and texts run through your own Twilio account, so the line and its records belong to your practice.

UK data rules

We sign a data-processing agreement with you. Transcripts are deleted after 90 days, and we don't use your calls to train AI.

FAQ

Questions practices ask us

Do we need new software or a new phone system?

No. You keep your number and your phone system. We connect a phone account in your practice's name (Twilio) and set the forwarding with your team.

Will patients know it's an AI receptionist?

Yes, always. It introduces itself as your practice's AI receptionist at the start of every call, and texts come from your practice name.

Can it book appointments into our diary?

Not directly. It sends your existing online booking link, or takes the patient's details for your team to call back. Your booking software stays as it is.

What about emergencies?

The AI receptionist never gives clinical advice. It points callers to NHS 111, your out-of-hours number, or 999 when it's an emergency, and flags the call for your team.

What does it cost?

The first 60 days are free. After that it's £149 a month per site, locked for 12 months if you book a call by 30 November (standard price £249), with no setup fee and no contract. Calls and texts are billed separately by Twilio through your own account.

What if we don't like it?

Switch it off. Your calls go back to exactly how they work today.
